Privacy policy
What we collect, why we collect it, how long we keep it, and what you can ask us to do about it.
Admissions counselling means handling genuinely sensitive material — marks cards, caste and income certificates, family finances. We treat that seriously. This policy sets out exactly what happens to your information, in plain language, without burying anything in legalese.
1. Who we are
Enrolla Educational Services LLP ("Enrolla", "we", "us", "our") is an independent education consultancy registered in Karnataka, India, with its office at No. 27, 3rd Floor, Cunningham Road, Vasanth Nagar, Bengaluru – 560052. For the purposes of the Digital Personal Data Protection Act, 2023, we act as the Data Fiduciary in respect of the personal data described here.
For any question about this policy, or to exercise any of the rights in section 9, write to privacy@enrolla.in or call +91 97428 14852.
2. Information we collect
2.1 Information you give us
- Identity and contact details — student and parent or guardian names, mobile number, email address, and postal address where relevant.
- Academic information — Class 10 and 12 marks, entrance exam registration numbers, ranks and scorecards, and previous institutions attended.
- Eligibility information — reservation category, and where you ask us to assist with a category claim, the supporting documents such as caste, income, domicile, study or rural certificates.
- Preference information — the branches, colleges and locations you are considering, and the budget range you indicate.
- Correspondence — the content of emails, messages and notes taken during counselling sessions.
2.2 Information collected automatically
When you visit this website we collect a limited amount of technical data — IP address, browser type and version, device type, pages viewed, and the referring page. This is used to keep the site working and to understand which content is useful. We do not use it to build advertising profiles.
2.3 Information we do not want
Please do not send us financial account numbers, card details, UPI credentials, passwords or one-time passwords. We will never ask for them. If you send such information anyway, we will delete it on discovery.
3. Why we use your information
We process your personal data only for the purposes below, and only for as long as those purposes require.
- To provide counselling services — analysing your rank, preparing shortlists, checking documents, and supporting you through counselling rounds.
- To communicate with you — responding to enquiries, sending deadline reminders, and providing round-by-round updates during an active admission cycle.
- To administer our engagement — raising invoices, maintaining service records, and handling any dispute.
- To meet legal obligations — retaining records where tax, accounting or other law requires it.
- To improve our service — anonymised, aggregated analysis of outcomes across admission cycles. This never identifies an individual student.
We rely on your consent for these purposes, and on the ground of legitimate use where the law recognises it — for example, processing you have voluntarily provided information for, and not indicated you object to. Where we rely on consent, you may withdraw it at any time under section 9.
4. Who we share it with
We do not sell your personal data. We do not rent, trade or licence it. We do not pass your contact details to colleges, coaching centres, hostel operators, lenders or any other business for their own marketing. This is a firm commitment, not a preference.
We share information only in these limited circumstances:
- Where you instruct us to. If you ask us to submit an application or correspond with a specific college on your behalf, we share only what that submission requires.
- With service providers who work for us. Email hosting, website hosting and document storage providers, each bound by contract to process data only on our instructions and to keep it secure.
- With our enquiry form processor. Enquiries submitted through the forms on this website are transmitted via FormSubmit (formsubmit.co), which relays them to our admissions inbox. Whatever you enter into a form — including your name, contact details, rank and, if you choose to provide it, your reservation category — passes through that service in the course of delivery. It is not used to build a marketing list, and we do not authorise it to use your data for any purpose other than delivering the enquiry. If you would rather not use the form, email or call us directly using the details in section 13.
- Where the law requires it. In response to a valid order from a court, regulator or law enforcement authority.
- To protect rights. Where disclosure is necessary to establish, exercise or defend a legal claim, or to prevent harm.
5. How long we keep it
- Enquiries that do not become engagements — up to 12 months, then deleted.
- Active student files — for the duration of the admission cycle and for 3 years afterwards, so that we can assist with any follow-up question.
- Certificates and marks cards — deleted within 90 days of your admission cycle closing, unless you ask us in writing to retain them for longer.
- Financial and tax records — for the period required by applicable law, currently 8 years.
You may ask us to delete your information earlier — see section 9.
6. How we protect it
We apply reasonable security safeguards appropriate to the sensitivity of the data: access to student files is restricted to the counsellor handling your case and the operations lead; documents are stored in access-controlled cloud storage rather than on personal devices; the website is served over HTTPS; and physical files are kept in a locked cabinet at our office.
No system is perfectly secure, and we will not pretend otherwise. If a breach occurs that is likely to affect you, we will notify you and the Data Protection Board of India as required by law.
7. Cookies and analytics
This website uses only what is necessary to function. We do not set advertising or cross-site tracking cookies, and we do not run remarketing pixels.
We embed a Google Maps frame on our contact page so you can find the office. Loading that frame means Google may receive your IP address and set its own cookies, governed by Google's privacy policy rather than this one. We load fonts from Google Fonts for the same reason. If you would prefer to avoid this, most browsers allow you to block third-party content.
Submitting an enquiry form sends the contents of that form to FormSubmit (formsubmit.co), which delivers it to our inbox, as described in section 4. This happens only when you actively submit a form — simply reading this website sends nothing to that service.
Should we introduce analytics in future, we will update this policy and list the provider here before doing so.
8. Children's data
Many of the students we work with are under 18. Where we knowingly process the personal data of a child, we do so with the consent of a parent or lawful guardian, and we do not undertake tracking, behavioural monitoring or targeted advertising directed at children. If you believe we hold a child's data without proper consent, contact us and we will address it promptly.
9. Your rights
Subject to applicable law, you may ask us to:
- Access — provide a summary of the personal data we hold about you and how it has been processed.
- Correct — rectify data that is inaccurate, incomplete or out of date.
- Erase — delete your personal data where it is no longer needed for the purpose it was collected for, and we are not required by law to keep it.
- Withdraw consent — at any time, as easily as it was given. Withdrawal does not affect processing carried out before you withdrew.
- Nominate — designate another person to exercise these rights on your behalf in the event of death or incapacity.
- Complain — raise a grievance with us, and escalate to the Data Protection Board of India if you are not satisfied with our response.
Write to privacy@enrolla.in to exercise any of these. We will respond within 30 days. We may need to verify your identity first, to make sure we are not disclosing your information to someone else.
10. Grievance Officer
In accordance with the Information Technology Act, 2000, the rules made under it, and the Digital Personal Data Protection Act, 2023, the contact details of our Grievance Officer are:
- Name: Vinay Shastry
- Designation: Grievance Officer, Enrolla Educational Services LLP
- Email: grievance@enrolla.in
- Address: No. 27, 3rd Floor, Cunningham Road, Vasanth Nagar, Bengaluru – 560052, Karnataka, India

11. Links to other websites
We link to college websites, the Karnataka Examinations Authority, COMEDK and other official sources so you can verify information at source. We do not control those sites and are not responsible for their content or their privacy practices. Read their policies before providing information to them.
12. Changes to this policy
We may update this policy as our practices or the law change. The "last updated" date at the top will always reflect the current version. Where a change materially affects how we handle your data, we will notify students with active files by email rather than relying on you to notice.
